POPAI Board Meeting Minutes for 05/15/2024

Troy called the zoom meeting to order at 12pm.

Secretary's Report

Troy asked if everyone had an opportunity to review the April Secretary Report.   Lindsey moved to accept the April Report.  Shannon seconded. All were in favor. Motion carried.

Treasurer's Report

Andria provided the April Treasurer’s Report. As of April 30, 2024, the balance in checking was $95,757.092 and $47,738.77 in savings. Andria explained the $250 Quicken issue has been resolved. Cherie motioned to accept the March and April Treasurer’s Report. Jenny seconded. All were in favor. Motion carried.

Andria discussed investing into a certificate of deposit and the different interest rates. Heather made a motion to invest $40,000 into a CD for 4 months. Cherie seconded. All were in favor. Motion carried.

The federal FIN numbers are resolved. The previous taxes are refiled and current (2023) taxes are filed/received.

Membership

Membership Data on May 1, 2024:  1,194 Total Current; 1,036 POs; 23 Corporate; 135 Other

Karen completed the 25 and 10 year awards list for Lindsey and will send invoices to the few who still need to pay this year to qualify.

Lindsey will order more Yetis so we will be prepared for the fall conference.

Education

Justice Services Conference Booth- Lindsey said it went well.

IOCS 2025 – Tentative dates April 14-16, 2025

2024 Fall Conference (Sept 4-6) Anthony requested we share the call for proposals for the conference. More speakers are needed.

Fun night – Karaoke, trivia, and music BINGO. Lindsey/Anthony have discussed with someone and we agreed schedule that person for the fun night.  The band ($3850) is confirmed. The Indy Car ($1250) is confirmed. The next meeting is next week. The decorations and camera will be determined. We have funds to still utilize for the “fun night”.

APPA Summer Institute (June) – Last host committee meeting May 13th – APPA has some concerns about current attendance numbers. They will also be marketing a career fair. If you volunteer at the conference, you can attend the conference sessions that day at no cost.

2024 Joint Meeting with IACCAC (August 22nd) – Save the dates will be sent to Chiefs soon.

Training Coordinator for 2025 – After the fall conference, Anthony will be stepping down as the training coordinator. Troy/Lindsey will work w/ the Executive Board on a plan to fill the position. We are all very appreciative for the amazing work Anthony has completed in the coordinator role.

Probation Officer Advisory Board Update

Meeting dates: August 13, November 12

Shannon stated they met yesterday. She will meet with the education committee/IOCS and determine what will be reviewed for the upcoming term.

Adam plans to attend the August and Nov meetings.

Election

Bob stated he has received two intents to run.

Awards and Recognition

Lindsey stated the Knepple Scholarship presentation went well.

Justice Reinvestment Advisory Council (JRAC)

JRAC last meeting May 3rd  – no update

EBDM/Local JRAC Workgroup last meeting April 26th  – Technical assistance is at the maximum, but they will look at resources to assist those who apply. They are looking to create a local JRAC State Conference.

Legislation

Matt has emailed the updates.

Technology

Karen described two kinds of historical (old) data on the website and recommended an archive plan. Everyone agreed with her action plan.

She reviewed the calendar, and listed top visited pages of the website, which included for the first time Board Meeting Minutes. After discussion, it was decided that she will convert Board Meeting Minutes into three types of documents: 1. PDF of the month saved for the Board 2. Word Document of the month saved for the Board 3. Annual PDF containing all 12 of that year’s PDFs available to the membership

She described May tasks. Election information has been published. She stated the POPAI Emails are going into some spam folders and she will resolve it this week using a DMARC record. The call for proposals for the fall conference has also been posted.

Old Business

Probation Officer Salary Schedule – New report to review. Troy has updated and emailed to everyone. Discussion followed. Andria made a motion that Troy make the discussed changes and then email the probation officer salary schedule to all the chiefs. Lindsey seconded. All were in favor. Motion carried.

DOC Funding Formula Committee – Andria will be on the group. Next meeting is in June.

DOC Performance Measures Committee – If anyone is interested, please advise Troy.

APPA Summer Institute Scholarships for Registration – Troy stated we had over 45 officers enter and he is waiting for confirmation from a few of the applicants.

Next Meeting

Next meeting: Wednesday, June 12, 2024 at 10:30 a.m. EDT at Hamilton County Department of Probation Services and via Zoom.
